This Refund & Cancellation Policy explains when you may receive a refund and how cancellations work for services provided by VisRadar (we, us, or our). This policy applies to all services, including form filling assistance, mock interview preparation, visa information consulting, document mailing support, and interview scheduling.

1) Definitions

  • Order: your confirmed request for our services.
  • Appointment Confirmed: an official appointment date and time has been secured in your name and we have provided a confirmation reference or screenshot from the official system.
  • Pre-Confirmation: the period before an Appointment Confirmed.
  • Post-Confirmation: the period after an Appointment Confirmed.
  • Fees: service fees charged by us. Government fees, consular fees, courier or postage, and third-party platform fees are not our fees.

2) General principles

  • We do not guarantee visa outcomes or specific appointment dates or times. Our fees are for services rendered, not for visa approvals.
  • Refund eligibility depends on service stage (Pre-Confirmation vs Post-Confirmation) and any written offer or order confirmation you received.
  • Unless otherwise agreed in writing, all Fees become non-refundable once an Appointment Confirmed is achieved.

3) Pay-after-success and deposits

  • If your offer states pay-after-success, you owe the stated fee only after an Appointment Confirmed is achieved for the scope described.
  • If a deposit is stated, the deposit may be refundable during Pre-Confirmation minus disclosed processing costs. Deposits become non-refundable at Post-Confirmation unless the order states otherwise.

4) Cancellations initiated by you

  • During Pre-Confirmation: you may cancel. We will refund any deposit that is expressly marked as refundable, minus any disclosed processing costs or third-party charges that cannot be recovered.
  • During Post-Confirmation: cancellations do not qualify for a refund of our Fees. If rescheduling or changes are requested, additional Fees may apply.
  • If you ask us to cancel an existing official appointment to pursue another date, you accept related risks and any fees charged by third parties. Such third-party fees are non-refundable.

5) Cancellations initiated by us

  • We may cancel an Order for breach of Terms, suspected fraud, abusive conduct, or non-payment. In such cases, Fees are non-refundable.
  • If we cancel due to reasons within our control before Post-Confirmation and no service value has been delivered, we may offer a goodwill refund of deposits paid, excluding third-party costs already incurred.

6) Rescheduling and scope changes

  • Requests to change consulate, destination, time window, or traveler list after placing the Order may require a new Order or additional Fees.
  • If we have already achieved Appointment Confirmed, subsequent changes are a new service and are billed separately.

7) Non-refundable items

  • Third-party charges such as government fees, consular fees, courier or postage, payment processor fees, or platform service charges.
  • Bank currency conversion losses or international transfer fees.
  • Optional add-ons already delivered (for example, a completed mock interview or form review).

8) Chargebacks and payment disputes

  • Please contact us first to resolve any billing questions. Unwarranted chargebacks may lead to suspension of services and recovery of associated costs.
  • If a chargeback occurs after Post-Confirmation, we reserve the right to provide documentation to the payment processor showing service delivery.

9) Processing of refunds

  • Approved refunds are issued to the original payment method when possible. If not available, we may issue a refund via another reasonable method.
  • Processing time is typically 5 to 10 business days after approval. Your bank or processor may take additional time to post the credit.
  • Refunds are issued in the original transaction currency. Currency fluctuations, processor fees, and bank charges may reduce the amount you receive.

10) Force majeure and third-party systems

  • We are not responsible for delays, cancellations, or changes caused by government policy updates, official system maintenance, strikes, natural disasters, network failures, or similar events beyond our control.
  • Unavailability or changes in official appointment systems do not by themselves create a refund right for Fees already earned under this policy.

11) Groups and families

  • Each traveler is a separate service unit unless your written order states a bundled price. If one traveler cancels, Fees for other travelers remain payable.
  • If group members require different consulates or time windows, this may be treated as multiple Orders.

12) Duplicate submissions and conflicts

  • If you or another agent places parallel requests that conflict with our work, we may suspend or terminate the Order. Fees for work performed remain payable.

13) Fraud, false information, and policy breaches

  • We do not falsify or misrepresent information and we do not participate in fraudulent activity.
  • If you provide false information or attempt visa fraud, we will refuse service and may report to relevant authorities. Fees are non-refundable in such cases.

14) How to request a refund or cancellation

  1. Email us at shaun@visradar.com with subject: Refund or Cancellation - Your Full Name - Order details.
  2. Include your contact email, Telegram or phone, destination, preferred consulate, and any confirmation reference.
  3. State your reason and whether you are requesting cancellation, rescheduling, or a refund.

We will review your request and reply with eligibility and next steps.

15) Data deletion

Upon completion or cancellation, you may request deletion of credentials and personal data held by us, subject to legal holds and our Privacy Policy.

16) Updates to this policy

We may update this policy from time to time. The Last updated date will change accordingly. Your continued use of our services after an update constitutes acceptance of the revised policy.
